PK-12 School Secretary at Nezperce Jt. School District #302 in Nezperce, Idaho, United States Job Description Position Title: K-12 School SecretaryReports To: Building Principal/SuperintendentLocation: Nezperce School DistrictEmployment Status: Full-Time (Time-Off Dictated By School Calendar)Hours: Monday-Friday, as determined by district schedule Position Summary The K-12 School Secretary serves as the first point of contact for students, families, and staff and plays a critical role in maintaining the efficient operation of the school. Responsibilities include student registration, financial management, student inventory management, attendance tracking, substitute management, minor nursing support, and administrative tasks. This individual must exhibit a positive and patient demeanor, especially during stressful situations, and be highly adaptable to changes. Key ResponsibilitiesStudent Registration & Attendance Manage and coordinate all aspects of student registration, including enrollment paperwork, data entry, and student files. Maintain accurate attendance records, monitor tardies/absences, and generate attendance reports as needed. Communicate attendance issues to families and administrators per district policies. Financial Management Manage and track school-related financial transactions, including student fees, activity accounts, and payments. Reconcile budgets, generate financial reports, and ensure compliance with district policies. Assist in purchasing and inventory management while maintaining accurate financial records. Management of Student Inventory System Maintain and update the student inventory system for textbooks, technology, and supplies. Issue, track, and collect items distributed to students and staff. Coordinate repairs or replacements as needed and maintain organized records. Substitute Management Manage substitute scheduling, including securing substitutes for teacher and staff absences. Provide substitutes with necessary information and materials for their assignments. Maintain a database of substitute availability and related records. Minor Nursing Needs Provide basic first aid to students for minor injuries and illnesses. Administer medications to students as authorized by parents/guardians and per district guidelines. Maintain accurate health records and communicate health concerns to families and appropriate staff. Administrative Tasks Answer and direct phone calls, greet visitors, and provide information to parents, staff, and students. Draft, file, and distribute correspondence, newsletters, and memos. Assist administrators and teachers with general clerical duties, data entry, and organization of school events. Maintain confidentiality of student records and sensitive school information. QualificationsRequired: High school diploma or equivalent. Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, Outlook) and data entry software. Ability to pass a background check and meet district employment standards. Excellent communication and interpersonal skills. Preferred: Previous experience as a school secretary, administrative assistant, or in a similar role. Experience with financial management or budgeting. Familiarity with student management software (e.g., PowerSchool, Skyward). Basic first aid certification (or willingness to obtain). Skills and Competencies Strong organizational and multitasking abilities with attention to detail. Ability to remain calm, positive, and patient during stressful situations. Excellent problem-solving and adaptability skills in a dynamic school environment. Strong written and verbal communication skills. Ability to maintain confidentiality and professionalism. Physical Requirements Ability to lift up to 25 pounds and perform tasks involving prolonged periods of sitting, standing, and walking.
