Summary

The Grants & Special Events Coordinator maintains the primary kuleana and serves as
the lead facilitator for the grant development and compliance, and leads in the
initiation, organization and implementation of annual fundraising events. Leads in the
facilitation and organization of the planning committees, develops and executes an
annual fundraising action plan, and makes recommendations to Executive Team and
Board of Directors.

Duties and Responsibilities

Grant Development:
Maintains the primary responsibility for seeking and presenting grant opportunities.
Maintains an annual calendar of regular grant opportunities and interacts with
program officers to discuss potential projects for proposal development and
submittal.
Actively utilizes grant hub, foundation sites, government sites, and other resources to
seek out grant opportunities that are relevant to INPEACE programs and developing
projects.
Receives and pre-screens all RFP packages and presents a recommendation to CEO
for decision on grant direction and projects.
Works alongside COO and Community Relations & Grant Support to facilitate team
discussion and coordinate team assignment for grant proposals.
Monitors and leads the coordination of grant process for all grant submissions. This
includes the complete review and outlining of the grant package, coordination of
grant team assignments, management of the submission timeline, support to grant
team for the development of materials, completion of necessary forms and
supplemental materials, formatting and compilation of the grant package, and final
submittal.
File, organize and maintain all grant files and documents on INPEACE SharePoint.
Maintains designated internal systems and processes to track and update information
on a timely basis, enabling report generation as requested by grant team members.
Upon award of grant, convenes team meeting for onboarding. Ensures all relevant
parties (i.e., programs, data team, etc.) understand the scope and specs of the grant.
Establishes calendar to notify Program Directors of the reporting requirements and
deadlines, following up and providing guidance/support for report completion as
needed, ensuring submission of reports and materials on time.
Documents and maintains historical records of grant packages, supporting
documents, attachments, and materials.
Provides consultation and technical assistance to programs, as requested and in
coordination with Executive Team, in the implementation of grant terms and
expectations.

Fundraising Events Coordination
Responsible for the planning, implementation and execution of all aspects of the
organizational fundraising events, as established and approved by the Board and/or
Executive Team.
Convenes planning team and ensures execution of a collective planning and
coordination process for.
Leads in the outreach and engagement, establishing and expanding a comprehensive
list of invitees to ensure maximum capacity and proceeds.
Establishes an objective work plan for submission to COO at least 9 months prior to
execution date.
Serves as the primary point of contact for all collaborators, partners, vendors, etc. in
terms of final coordination and negotiation of contracts.

General duties
Coordinates with communications team to ensure the timely development of
collateral materials for all efforts and events.
Ensures the timely posting and dissemination of press releases for the
announcements of new funding, fundraising events, etc.
Develops concise and consistent messaging to keep funders and supporters engaged
and informed about events and successes of INPEACE.
Other duties as assigned.

Minimum Qualifications

Bachelors degree or 5+ years directly related experience.
Demonstrated work experience that indicates:
